Tour Inclusions

A value for money experience.

All inclusive

With all inclusive pricing you know exactly what the tour will cost.

Academy Travel aims to provide a fully inclusive package from the start, in order to provide transparent pricing and allow families to budget appropriately. In our standard tour package, the only extra cost whilst on tour is lunch each day. We are able to include additional services, amend the level of inclusions or remove some items altogether on request.

Participants on the tour will stay in quality hotels in central locations, tour with expert local guides, enjoy amazing cultural experiences, travel by private coach/local airlines and create memories to last a lifetime. The whole experience will be managed by one of our experienced tour managers which allows the smooth operation of the tour while accompanying teachers can focus on pastoral care.

    • Return economy international airfares with reputable airlines.

    • Airlines are selected based on scheduling, fares and safety. Our preferred international airlines include Etihad Airways, Emirates, Singapore Airlines, Cathay Pacific, Qantas and United Airlines. The group will usually be allocated a block of seating on each flight, however seat allocations are at the discretion of the airline. Special seating requests cannot be guaranteed. Please be aware that those undertaking additional travel often are seated separately to the group. International flight schedules are only released 11 months prior to the date of the return flight to Australia.

    • Any required internal flights with local airlines where applicable.

    • Airlines are selected based on scheduling, fares, and safety. An internal/domestic flight will be booked upon confirmation of your group with a local or low-cost airline 6-9 months prior to departure.

    • All fuel surcharges and taxes for included flights.

    • All accommodation in quality hotels in central locations with private bathrooms.

    • We consistently use the same hotels that are well-known to us and cater to the needs of student groups. Hotels are generally 3-star and we will provide a list of confirmed hotels for the tour as part of the Risk Management process. Hotels may sometimes change due to operational reasons, and we will inform you of any changes as soon as possible.

    • Hotels have private en-suite bathrooms (no shared facilities).

    • Students are accommodated in twin, triple or quad rooms with single beds, according to the composition of the group and the available rooms at hotels. Teachers/adults will be accommodated in twin rooms unless specified or requested.

    • Rooming is decided by the organising teachers and may change from hotel to hotel according to the composition of the available rooms. Where possible, properties will allocate rooms for the group in close proximity this cannot be guaranteed.

    • All land transportation by private coach or public transport.

    • The majority of travel is with private coach. Academy Travel selects local coach companies with good safety records, well-maintained vehicles, and qualified drivers.

    • Often in cities, the public transport system is an efficient means of moving the group around. The tour manager will provide tickets for any public transport required and ensure the safe and easy movement of the group on and off the transport.

    • All breakfasts and dinners.

    • Breakfasts are served in hotels or local cafes. They are usually continental, buffet-style.

    • We will include all dinners unless requested otherwise. Included evening meals are taken in the hotel or local restaurants. Soft drinks (1 per person) and water are included with the evening meal.

    • Lunch is not included. The only extra cost whilst on tour is lunch each day.

    • Services of an experienced tour manager for the duration of the tour to manage all daily logistics.

    • An experienced tour manager employed directly by Academy Travel will be assigned to your group. The tour manager will be with the group from arrival to departure. The tour manager’s responsibility is to ensure the smooth running of the tour, that all services are delivered as promised and to deal with any emergencies or re-scheduling that occurs on tour. The tour manager will work closely with teachers to meet the pastoral care and behavioural expectations of the school, but the organising teachers retain the main responsibility for these areas.

    • Academy Travel includes comprehensive travel insurance for every participant on a tour unless otherwise requested. Participants are encouraged to complete the travel insurance application at the time of booking to guarantee coverage as soon as possible for pre-departure events.

    • All travel insurance policies contain exclusions, surcharges etc for pre-existing medical conditions, extension of travel and other important details. Participants are encouraged to read their policy carefully and to contact the insurer if anything is unclear.

    • The contract for travel insurance is between the traveler and the travel insurance company. Travellers are bound by the terms and conditions of the travel insurance policy, and Academy Travel has no influence over this policy or the outcome of any claim made by a tour participant.

    • Any relevant visas applicable to Australian passport holders

    • Australian passport holders are permitted to travel in Europe for up to 90 days without a special visa. For tours that visit countries requiring Australians to hold a visa, this will be included in the cost of the tour. These countries include the United States of America, China, Vietnam, Cambodia and Russia.

    • Academy Travel attendance at information evening and pre-departure meeting.

    • After you have signed expressions of interest from at least 20 paying passengers, we will organise a suitable date for an Academy Travel representative to come to your school to present an information evening. The presentation takes approximately 1 hour and will include information on the itinerary, pricing and inclusions.

    • An Academy Travel representative will also visit the school 3-4 weeks prior to the tour for a pre-departure meeting. During this meeting, travel documents will be distributed and a full briefing on the practical aspects of the tour will be given.

    • Academy Travel document wallet and luggage tag.

    • Each traveller receives their own document wallet and luggage tag at the pre-departure meeting, along with their flight ticket and daily itinerary.
